Your Account Manager will be able to confirm availability and pricing based on your needs. This opportunity is extremely limited and cannot be guaranteed for all inquiries.
LOAD-IN
Friday, July 10 | 8:00 AM – 12:00 PM
All exhibitors must load into the expo Friday morning. Please designate your preferred load-in time within the form below. Please arrive at the date/time we confirm via email to allow for a smooth load-in process for all exhibitors. All exhibitors must check in with expo staff at the Exhibitor Check-In tent upon arrival for their scheduled load-in.
BOOTH EQUIPMENT & RENTALS
POWER: Power will be accessible to a select number of booths within the expo. Brands are responsible for equipment (cords, power strips, etc.) to access power. If you need access to electricity for a successful activation, please request this amenity within the form below.
EQUIPMENT & OTHER INCIDENTALS: Please prepare to bring what you need for a successful expo experience, including tables, chairs, sandbags or other tent weights. If you have any specific challenges or needs, please reach out to your Life Time contact (Megan or Ellie). Tents must be weighted at all times.
PARKING
There is plenty of street parking available around Beaver City Park and within downtown Beaver, but please respect posted signs, businesses, and residents. Parking is also permitted along the west side of Beaver City Park and at the Army National Guard Armory along the south side of the park.
BOOTH SET-UP & RESTRICTIONS
BOOTH ASSIGNMENT: Ultimately, space will be assigned by Life Time based on contract requirements, power needs, and the products being displayed. All exhibitors will receive confirmation of booth assignment prior to the event. Exhibitors are not to activate outside of their assigned booth space.
BOOTH SET UP & RESTRICTIONS: Exhibitor’s materials must fit within the assigned booth space and may not obstruct walkways, exits, general view, and other exhibitors. Exhibitors are not to activate outside of their assigned booth space. No handouts or flyers may be passed out or posted outside of the assigned booth space. This will be strictly enforced. Expo management strictly prohibits subletting of booth space. This means that the only company permitted to activate within a specific booth space is the one that signed a contract with Life Time. Exhibitors may not share their booth space or use their space for any other reason without prior written approval from Life Time. Exhibitors must remain open at all times during expo hours. The expo is non-exclusive.
VEHICLE ON DISPLAY: Vehicles are allowed within Beaver City Park, weather permitting and pending approval from Life Time. Please designate within the form below if your activation plans include a vehicle on display.
FOOD & BEVERAGE
Alcohol is not permitted at the Expo. Sampling and/or selling F&B is permitted, pending Life Time approval. Please share your requested F&B plans within the form below for review and approval.
PRODUCTS & MATERIALS
Products with the event logo, name, etc. may not be sold, displayed or distributed without prior written approval from Life Time. Management reserves the right to restrict and remove any product it deems objectionable (includes products, persons, objects, conduct, etc.) for health, safety or other reasons. This may include products in conflict with sponsors.
FIRE, SAFETY & HEALTH REGULATIONS
Exhibitors agree to comply with local, city and state laws, ordinances and regulations. Exhibitors are responsible for all fire precautions.
INSURANCE
Please refer to https://www.lifetime.life/media.html for Life Time’s Insurance requirements. Exhibitors must adhere to these requirements and provide documentation if requested by Life Time.
SECURITY
Life Time is not responsible for brand materials. Brands are responsible for securing all valuables. Life Time is not responsible for lost, damaged, or stolen property. Security is not provided at the event. Please have your booth staffed at all times.
LOAD-OUT
Friday, July 10th | 7-9PM | Expo Load-Out Begins
All exhibitors must wait until the close of the expo at 7:00 PM on Friday to begin load-out. Vehicles will not be permitted to move within the expo until after 7:00 PM. Exhibitors have until 9:00 PM on Friday to complete their load-out from the expo.
Saturday, July 11th | 5-6PM | Finish Festival Load-Out
All sponsors must wait until 5:00 PM on Saturday to begin load-out. Vehicles will not be permitted to move until after 5:00 PM. Sponsors have until 6:00 PM on Saturday to complete their load-out from the Finish Festival.
FINISH FESTIVAL
Finish Festival is a sponsor-only activation opportunity during the event weekend. Exhibitors may participate only with an expanded contract coordinated through their sales representative. The Finish Festival schedule is outlined above, and all sponsors must confirm their activation plans using the form below.
Finish Festival is designed as a celebratory experience for riders, and activations here may feel different from a typical Expo presence. Think community, celebration, and post-ride fun!
Successful Activation Ideas Include:
- Recovery-focused activations – shade, lounge chairs, ice, etc.
- Music and interactive photo opportunities
- PR or finish-time celebrations
- Light refreshments (please confirm with your Account Manager before planning food/beverage elements, as some restrictions may apply)
